If you run a web development agency, you are almost certainly paying for a pile of tools that each solve one problem. Nobody adds up the total until it hurts. So here is ours, out in the open.

HubSpot for CRM at about $200 a month. Trello for projects and tasks at around $600. Toggl for time tracking at $240. Slack at $67. And that is before the smaller subscriptions nobody remembers signing up for. Line them up and the number is uncomfortable.

Why sprawl happens

It is never one big decision. It is a hundred small ones. A tool gets added to solve a real problem in the moment, the trial converts to a subscription, and it never gets removed even after the need passes. Multiply that across a few years and a team, and you are funding a stack half of which nobody fully uses.

The cost is not only money. Every tool is another login, another integration, another place data lives. That fragmentation is its own tax, the same way a Magento store slows down as modules pile up on every request.

Why I am transparent about it

I share our numbers because most agencies hide their costs and pad the client’s bill to cover them. Our flat-fee model means our overhead is our problem to manage, not a line item we quietly pass on. Being honest about what it costs to run the business is part of the same trust that makes clients stay, the care that actually differentiates a team.

Audit your stack like you audit a store

Once or twice a year, list every subscription and ask what would break if you cancelled it. Most agencies could cut a meaningful chunk with no real loss. It is the same discipline as getting the foundation right: trim the waste before you add anything new, and choose tools in the client’s interest rather than to look busy, the way a real partner operates.
